Executive Assistant, Tax


KPMG in the Cayman Islands provides independent audit services designed to enhance the reliability of information prepared by our clients for use by investors, creditors and other stakeholders in accordance with country-specific statutory requirements. Audit services also include a wide range of other forms of attestation reports.

Job Description

The Executive Assistant is critical to the success of the department and will assist with key tasks including drafting and formatting of documents, preparation of various reports and analysis including internal risk management and compliance documentation. You will coordinate and minute internal and team meetings, arrange social and corporate events, manage calendars and assist with booking of international travel.

Responsibilities will include, but not be limited to:

This role requires a trusted individual who can project manage well, dealing with multiple tasks and requirements for the management team. The individual must be able to exercise the highest level of confidential discretion and have an a professional demeanor.

  • Day-to-day activities will include, but will not be limited to:
    • Support the day-today activities of the Firm’s partners and directors
    • Manage the calendars of allocated Partners/Directors
    • Involvement in departmental or manager meetings (tasks involve the preparation of agendas, taking minutes, tracking action items, etc.)
    • Coordinate meetings, conference calls, video conference, etc.
    • Collection and distribution of mail
    • Handle ad-hoc business related requests (i.e. coordination of meetings, reservations, etc.)
    • Assistance with organizing conferences
    • Support to the department heads in specific projects and with ad-hoc requests
    • Preparation of time sheets of partners
    • Submission of expense claims
    • Travel arrangements for managers, directors and partners
    • Conference registrations
    • Provide back-up for other Middle Office team member in all areas of the Middle Office during vacation and absences
    • Assist in ad-hoc projects from the Operations Director
  • Education/ Experience:
    • A high degree of system and application knowledge and proficiency, including but not limited to Microsoft Suite
    • Highly-developed organizational skills with a results-oriented approach
    • Proven ability to manage multiple tasks from initial stages to completion within set time parameters
    • First class written and oral communication skills with the ability to communicate to members of the firm at all levels
    • A self-motivated individual with the ability to multi-task on a daily basis and maintain high levels of drive and resilience
    • A willingness and capacity to work overtime at short notice is essential as this is a highly demanding environment with very tight report deadlines
    • Must be a mature, self-motivated individual who is well organized, hardworking, enthusiastic and professional
    • Demonstrate a pro-active nature in identifying tasks that require attention

As the role requires the individual to work with client information on a daily basis, the individual must bring a high degree of integrity to their role and demonstrate their understanding of the need to maintain absolute confidentiality of the information that they have access to.
